Candidate Privacy Notice
How Ready Staff handles the personal information of work-seekers who register with us, including the documents required for compliance checks.
Why we collect your information
We collect and use your personal information to register you as a work-seeker, to assess your suitability for assignments, to meet legal obligations including right-to-work verification, and to administer pay where you are engaged by us.
What we collect
- Identity and contact details, including proof of identity documents
- Right to Work documentation and, where applicable, visa and permission expiry information
- Work history, qualifications, certifications and licences
- References and the outcome of reference checks
- Criminal record check results, where the role requires and permits such a check
- Bank details and tax information, where we engage and pay you
- Assignment records, timesheets and payroll records
- Health information only where it is relevant to workplace adjustments or safety
- Declarations you make during onboarding, including confirmations relating to fees and identity documents
Note. None of this is collected through the public website. Identity documents and financial details are only handled through our secured onboarding process, and never through a general contact form.
Special category and criminal offence data
Some of the information we hold, such as criminal record check results or health information relating to workplace adjustments, receives additional protection in law. We process it only where a specific condition applies — typically to meet obligations in employment law, or with your explicit consent — and we apply stricter access controls to it.
Equality monitoring information, where collected, is always optional, is kept separate from selection decisions, and is access-restricted.
How long we keep it
Registration and assignment records are kept for the periods set out in our Data Retention Statement, which reflect employment, tax and limitation requirements. Records are securely deleted or anonymised when the retention period ends.
Your rights
You have the rights described in our main Privacy Policy, including access, correction and, in some circumstances, erasure. Note that where we are required by law to retain a record — payroll records, for example — we may not be able to delete it on request.
We will verify your identity before disclosing information, to protect you against someone else obtaining your records.
