How we use your information
We use personal information to respond to enquiries, to supply staffing services, to meet our legal and regulatory obligations, and to operate and improve our website.
- To respond to a staffing enquiry or a work-seeking registration
- To perform a contract with you, or to take steps at your request before entering one
- To meet legal obligations, including employment, tax and right-to-work requirements
- For our legitimate interests in operating and developing our business, where those interests are not overridden by your rights
- With your consent, where consent is the appropriate basis — for example non-essential cookies and marketing email
International data transfers
Most personal information is processed within the United Kingdom. Some of the service providers that support this website (for example email delivery, bot-protection and, where enabled and consented, analytics) may process limited information outside the UK under their standard terms.
Where a transfer outside the UK takes place and a safeguard is required, we rely on an appropriate one — for example UK 'adequacy' regulations for the destination country, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses — together with the provider's own contractual commitments. We do not claim that all information remains exclusively in the UK.
Purposes and lawful bases
We only use personal information where we have a lawful basis under UK GDPR. The main purposes and the basis we rely on for each are set out below. Where we process special-category data (for example information relevant to right-to-work or health and safety), we also rely on an appropriate condition, such as employment, social-security and social-protection obligations, or the establishment, exercise or defence of legal claims.
- Candidate registration and recruitment
- Contract, or steps taken at your request before entering a contract; our legitimate interests in matching work-seekers to suitable assignments.
- Eligibility and Right-to-Work checks
- Legal obligation; where special-category or immigration-related data is involved, an appropriate employment or legal condition also applies.
- Worker administration and assignments
- Contract; legal obligation for the employment and tax records we must keep.
- Employer and client enquiries
- Steps before entering a contract; our legitimate interests in responding to and managing business enquiries.
- Payroll and statutory records
- Legal obligation (tax, National Minimum Wage, pensions); contract.
- Communications and service delivery
- Contract; our legitimate interests in operating the service and keeping you informed about it.
- Complaints and concerns
- Our legitimate interests and, where relevant, legal obligation; and the establishment, exercise or defence of legal claims where applicable.
- Website security and fraud prevention
- Our legitimate interests in protecting our website, users and business from spam, abuse and fraud, including bot-protection (reCAPTCHA) on our forms.
- Analytics and service improvement
- Consent — analytics cookies are not set unless you accept them.
- Marketing communications
- Consent for marketing email; our legitimate interests for limited service-related messages where permitted.
- Legal and regulatory compliance
- Legal obligation; and the establishment, exercise or defence of legal claims where applicable.
Automated decision-making and profiling
Ready Staff does not currently use solely automated decision-making through this website to make recruitment or employment decisions that produce legal or similarly significant effects. Recruitment and compliance decisions involve appropriate human review.
We use limited automated tools that assist our staff rather than replace their decisions — for example spam and bot detection on our forms and, where you have consented, website analytics. These may involve a degree of profiling, such as measuring how the site is used or scoring form submissions for abuse, but they are not used to make decisions about you that produce legal or similarly significant effects without human involvement.
If automated decision-making or profiling that produces legal or similarly significant effects is ever introduced, you have the right to be informed, to obtain human intervention, to express your point of view and to contest the decision.
How long we keep information
We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as the law requires. Retention periods differ by record type; the detailed standard periods for each category are set out in our Data Retention Statement (linked below).
Your rights
Subject to certain conditions, you have the right to request access to your personal information, to have inaccurate information corrected, to request erasure, to restrict or object to processing, and to request portability of information you provided to us.
Where we rely on consent, you may withdraw it at any time. Withdrawing consent does not affect processing carried out before withdrawal.
You have the right to object at any time to the use of your personal information for direct marketing, including related profiling. If you object, we will stop using your information for those purposes. You can do this by emailing info@readystaff.co.uk, or by using the unsubscribe link in any marketing email.
Complaints to the ICO
If you are unhappy with how we have handled your personal information, you can complain to the Information Commissioner's Office (ICO), the UK regulator for data protection. We would appreciate the chance to put things right first, so please consider contacting us before you do — but you do not have to, and you can complain to the ICO at any time.
